Hotel Cancellation Policy

All hotel reservations require a credit card number to hold the room. If a valid credit card number is not provided, the reservation will automatically cancel.

AIHce will accept new reservation requests until 5:00 p.m. CT on Thursday, May 14th.  On May 15th, reservation information will be transferred to the hotels.  Beginning May 19th until 72 hours prior to arrival date, please contact the hotel directly for changes or cancellations.

Reservations cancelled within 72 hours or failure to arrive as scheduled subject the registrant to a cancellation fee equal to one night’s room and tax.

If you are unable to attend the conference, be sure to cancel your registration and hotel reservations. Registration fees and hotel charges will not be refunded to “no shows.”

Prior to May 14

Please do not contact the hotel directly for changes or cancellations; your reservation will not have been processed. Rest assured, if you have received a confirmation from AIHce, you have a room secured at the hotel you selected.

If you prefer, contact AIHce Customer Service at aihce@experient-inc.com to make a change or to cancel.

On or After May 19 

Contact the hotel directly for date changes, cancellations, and new reservations. Room availability and rates are subject to the hotel’s discretion.

Your credit card may be charged if:

  • you do not check in at the hotel on the scheduled arrival day
  • you shorten your scheduled departure after checking in
  • you do not cancel your reservation within the hotel’s 72-hour cancellation window

When cancelling a reservation, obtain a cancellation number, date, and the name of the agent. In case of difficulty, contact AIHce Customer Service for assistance.
